As Office Manager, you are the driving force behind the daily experience of the office. You make sure around 150 engineers and corporate teams can stay focused on pushing boundaries while you take care of everything that makes great work possible. From operations to experience, you own the space and make it thrive.

This position is offered as an initial 1 year temporary contract, with the possibility of extension depending on business needs and mutual fit.

What You´ll Do

  • You run the Munich office like it is your own, ensuring everything operates smoothly from opening the space to keeping it fully stocked, organized, and ready for high performance work
  • You create a seamless front of house experience, welcoming visitors, managing communications, and setting the tone for a professional and dynamic environment
  • You coordinate meetings end to end, making sure rooms, materials, and logistics are always prepared and running without friction
  • You act as the key point of contact for office spaces and employee apartments, working closely with landlords and ensuring everything is handled efficiently
  • You take ownership of the company fleet, managing registrations, servicing, insurance, and daily coordination with users
  • You build and manage strong vendor relationships, ensuring consistent quality across cleaning, catering, maintenance, and security services
  • You partner with People and HR to deliver a smooth onboarding experience so every new joiner feels ready from day one
  • You support internal events, town halls, and culture initiatives that bring the Munich team together and strengthen our way of working
  • You contribute to office improvements, from small optimizations to larger refurbishment projects as the team scales
  • You collaborate with Office Managers across Europe to align standards, share best practices, and elevate the workplace experience across all sites
  • You ensure compliance with local regulations related to health, safety, fire protection, and accessibility, keeping the office safe and fully aligned with requirements
  • You maintain risk assessments, emergency procedures, and certifications in coordination with internal teams and building management

Requirements

What You’ll Need

  • Proven experience as an Office Manager, Front Office Manager, or Senior Administrative Assistant in a professional and fast moving environment
  • Strong understanding of office operations, administrative systems, and workplace processes
  • Excellent organizational and planning skills with the ability to manage multiple priorities without losing focus
  • Strong communication skills in English and German, both written and spoken. Ukrainian is desirable
  • A hands on mindset with attention to detail and a natural sense of ownership
  • Confidence working with vendors, landlords, and senior stakeholders
  • Ability to handle sensitive information with discretion and sound judgment
